DataRetention

The archiving tool.

Safely preserving what isn't migrated: With dacon® DataRetention, historical data remains audit-compliant and retrievable—directly from the migration process, without any system disruption.

Historical data that is no longer needed is written to a project-specific data model during the ongoing migration process via a “migrate or archive” branch. The same rules and checksums used in the migration itself are applied here. One tool, one set of rules, consistent audit trails.

The dacon® approach:
From technical coercion to creative tools

Every migration carries decades of legacy data with it

Many core system migrations face the same dilemma. Legal retention requirements extend beyond ten years, particularly for contract and claims data relevant to rate calculations. From a technical perspective, however, only a fraction of this data is actually needed in the new core system. The vast majority of legacy data is no longer used after migration, yet it still burdens the target system, testing, and runtime.

The usual workarounds come at a price: Migrating everything means full complexity and data volume in the target system, lengthy test runs, and a flood of errors stemming from rare legacy configurations. Keeping the legacy system running incurs licensing, operating, and expertise costs for a system that now serves only as a reference.

The dacon® solution: A Crossroad —Migration or Archiving

dacon®DataRetention is directly integrated into the migration engine and is part of DataBridge. Only the active data is transferred to the new core system. Older contract statuses, closed claims, and terminated contracts are written to the archive during the same migration run, using the same set of rules and the same check digits.

The business department retains full access via a customizable web interface. Field layout and search logic can be replicated in the archive based on familiar processes, without the need to continue operating the legacy system. Retention requirements are met, role-based access and deletion policies are enforced, and audit trails remain consistent throughout.

Your benefit in a nutshell:
No system shift

Archiving as an integrated step in the migration process: consistent checksums and an audit trail from the source to the archive—no separate export or import, no gaps in the audit trail.

A targeting system without any extra weight

Less volume, less complexity, and less testing effort in the new core system. Legacy systems can be decommissioned—eliminating licensing, operating, and know-how costs.

Compliance is ensured

Retention requirements are met, archived data is read-only, and retention and deletion periods are defined. GDPR- and GoBD-compliant, without a third-party vendor and without a separate data protection procedure.

The logic behind the ease:
This is how easy it works

Secure Archiving
Familiar Interfaces
Flexible Search
Exports & Reports
Roles & Anonymization
Retention Periods & Data Deletion Policies
Integration of Third-Party Systems

The following enhancements can be integrated, or third-party systems can be connected, as project-specific implementation phases:

  • CoC Integration, Deadline Logic
  • Retrieval APIs, BI/DWH, or Output Management
  • Full-text search

Workflow

02

Interface design

Search masks and detail views are aligned with the look & feel of the legacy system; search criteria, field order and exports are defined.

03

Rules for the switch

Migration rules are defined (history depth, open claims / items, exceptions): what goes into the target system and what into the archive.

Operations, Safety & Technology

Managed Service

dacon® operates DataBridge and the DataRetention module as a managed service on Oracle Cloud Infrastructure. Operation, monitoring, and maintenance are provided by a single provider; connectivity is via VPN, and access is through a web browser. Installation within an existing cloud infrastructure or on-premises is also possible.

Security & Governance

Access is secured through MFA and, optionally, SSO. A role-based authorization model protects the data. Activity and job logs ensure traceability, while sensitive data can be masked using predefined parameters. Archived data is stored in an audit-compliant manner and is read-only.
